Assessing and reviewing employee attendance

The payroll system has two reports that are most useful to quickly assess and review an employee's attendance status. Of the two, we find the first report most useful:

I. The attendance history report:

Find this report in the TPS software under reports. The report will let you search for the employee by last name, part of the last name or social security number. The report will also ask you for the search dates you can punch in any interval beginning with November 2000. It is easy to look at the rolling year, just go back 12 months. The search limit is 56 weeks.

 The report takes just seconds to run and you direct the print to a printer, a file or to the screen for previewing.

What do get in this report?

  1. First, you get a coded day-by-day graph of attendance for the entire search period. The key to the code appears at the bottom of the report so that you can easily interpret the graph. If you want to look for sick leave events that precede of follow regular days off or holidays, look for "B"s (sick days) that are adjacent to "X"s (regular days off) or "H"s (holidays). Remember that two such events triggers the need for physician's notes. You can scan the entire year in just a few seconds. Cool!
  2. The next section is the monthly benefit usage section, which reviews the total number of hours of leave utilized by month. You can use this to see if excessive leave usage was due to one event or if there is a pattern.
  3. The final data section of the report gives you the total quantity of hours by type of leave for the entire search period. This is where you get the data to compare with the leave usage standards.

II. The time audit report

 This report recaps all adjustments made to a person's pay system. With this report you can look for patterns of usage (for instance, to cover tardiness). The report shows all TACS adjustments (you can count the number of TACS adjustments for "forgetting").
